About The Position
The Legal Assistant performs complex, legal, secretarial, and other administrative activities, which may be highly confidential and sensitive, accomplishing work using standard procedures with moderate guidance. Serves as liaison between attorneys and office staff, in-house Ameren clients and outside Legal Counsel. Coordinates administrative support activities. This position will provide support to a specific legal practice group/team within the Ameren Legal Services Department.
Key responsibilities include:
Provide assistance to legal department directors, team attorneys and related personnel (paralegals, claims representatives, etc.) for highly confidential company matters.
Participate in rotating schedule as on-site legal assistant, handling on-site departmental needs including opening/delivering and logging incoming legal department mail items, as well as coordinating departmental collaboration events or catering.
Organization and maintenance of electronic and hard copy documents and files and assist with records review and retention projects, service as a records custodian.
Create and maintain matters in the legal matter management system (CounselLink) and processing legal department invoices through e-billing program (CounselLink), including first-line review of invoices in accordance with agreed upon billing guidelines.
Process invoices and/or other check requests outside of CounselLink, through Oracle, submitting requests for setup of new suppliers in accounting system prior to payment requests, and monitor status of setup and payments.
Prepare and process expense reports for travel/mileage or other business expenses incurred on company credit card, through Oracle.
Track and coordinate attorneys' calendars including scheduling meetings and activities, coordinating travel arrangements, and docketing/monitoring deadlines, as well as other activities between in-house counsel, internal clients and outside counsel.
Assist with preparing, revising and proofreading legal documents, agreements, contracts, correspondence or court filings for correct grammar, spelling, punctuation, format, syntax, and content before sending outside of the department/company or filing.
Provide support for administrative matters and internal reports (weekly reports, quarterly KPIs, etc.),
Assist with CLEs, licensing requirements and annual membership renewals for team attorneys.
Qualifications
Legal secretary certificate or higher education degree with three (3) or more years of legal secretary experience.
OR
High school diploma or equivalent with five (5) or more years of relevant clerical or executive level administrative support. Relevant experience includes, but is not limited to, support of legal offices, courts, corporate business services functions, and regulatory agencies.
In addition to the above qualifications, the successful candidate will demonstrate:
Knowledge of filing systems, legal terminology and syntax, content, organization, office technologies, and format of legal documents and correspondence. Ability to compose correspondence and reports, select and apply references such as dictionaries, English usage manuals, legal references and procedures manuals required. Skilled typing ability and knowledge of personal computers, software (includes complete "Office Suite" i.e. Office 365, Power Point, Excel), SharePoint, and related applications and systems required.
Ability to follow complex instructions, apply instructions and/or guidelines as appropriate in the performance of support activities, maintain composure during stressful situations occurring as a result of workloads and/or deadlines required. Ability to perform mathematical calculations, transcribe documents from written, oral, or computer-generated formats, interpret instructions and guidelines in order to make decisions and take necessary actions, and determine work priorities also required. Financial acumen to assist in budgeting and invoicing activities. Experience with Westlaw or LexisNexis preferred.
