Role Accountabilities
HR Operations
Responsible for employee and/or organisation data entry/processing, maintenance and transactions on HR information systems which includes HR Helpdesk, Pre-hire and On-boarding, Employee Data Life Cycle, Payroll related informational updates, Information System structural data, HR Reporting involving Compliance, Governance, Audits & business needs.
Validate and audit data regularly to ensure high level of accuracy.
Ensure and develop consistent HR process documents, standard operating procedures and instructions/guidance.
Ensure agreed service level agreements are being met by HR Operations.
As a frontline representative of HR Shared Services, advocate for the team and department while working to coordinate, troubleshoot, resolve, and communicate resolutions to requests and issues in a professional, helpful, and timely manner.
Monitor and analyse requests and issues, communicating relevant trends and findings to HR Shared Services team members.
Partner closely with HRBPs and provide effective and efficient support in terms of guidance and transactional activities.
Work to support Payroll, HRIS and other HR initiatives and projects together with the HRIS Specialist.
Support the team with any other ad-hoc activities or as required under the scope of HR Operations and HR Shared Services.
Process Improvements/Projects
Partner closely with HRIS and Payroll team to ensure effective and efficient use of technology and process improvements.
Advocate for HR Operations Transformation by identifying and contributing to areas and opportunities while leveraging technological resources towards effectiveness and efficiency.
Support the adoption of transformed HR Operations processes through related communication and information with all stakeholders.
Work on the HR Digital Transformation Project to standardize and streamline the HR Operations transactions and processes globally.
HR Compliance
Work with other team members to ensure the provision of all HR audits information requirements (internal or external).
Ensure all data update, documents stored are in line with the compliance requirements as set by the company and work towards closing out any outstanding audit findings (where applicable).
Ensure data integrity, control, and compliance in HR operations.
Crisis Management
Make every effort to be aware of and understand your role in the event of a crisis.
Make every effort to attend any relevant training, simulations and or meetings relating to Crisis Management.
Perform your role as best as possible in a calm and collaborative manner in line with the relevant policy and procedures in the event of a Crisis.
Provide input and feedback towards the ongoing improvement of the Crisis Management framework and procedure.
Safety
Take responsibility for the safety of myself and those around me by displaying safety leadership principles (i.e. Safety I’s & Accountability ladder).
Challenging and stopping unsafe acts and behaviours or unsafe conditions.
Comply with the Global Safety Standards, Policies and Operating Procedures.
Key Qualifications & Skills
Qualifications
Diploma holder in Human Resources / Business Administration or related qualification with at least 1 years of HR-related experience will be preferrable.
Technical Skills
Experience with working in HR-related functions with strong processes mindset and system knowledge. Very strong knowledge in Microsoft Office especially MS Word and MS Excel. Knowledge of Success Factor Employee Central and MS Sharepoint would be advantageous.
Deep understanding of the Employment Act and relevant government regulations that impact payroll and MOM requirements would be advantageous.
Ability to work with minimal guidance/direction, with clear knowledge of escalation points and redirection to relevant decision makers on exception requests.
