About the Company

We’re a Canadian law firm specializing in streamlining the insurance claims process for families and businesses impacted by residential disasters such as fires and floods. Our goal is to alleviate the stress of claims while maximizing financial recovery, helping our clients rebuild their lives.

Our practice can be described as an amicable way to ensure your rights are protected after a large residential loss. We focus on non-litigious, friendly resolutions with insurers, though with our legal expertise, we can escalate to litigious means when needed. There are two main areas of our business: traditional residential or commercial claims that are not in dispute and residential and commercial claims that may be under investigation or have been denied.

Our clients are all Canadian, predominantly families with residential issues, and some businesses. Interestingly, we meet less than 10% in person.

Founded 9 years ago after our founder's personal loss in a fire, we were inspired to help others facing similar crises. Unlike typical law firms, our contingency-based billing model aligns our fees with client success. We are forward thinking with our legal strategies and aim to give those without a voice an opportunity to be heard. We have a strong focus on the customer’s journey and are always improving internal processes through a variety of means and communication improvements. Our holistic, community approach includes hands-on training with the Red Cross, and we’re attempting to launch other unique supports, for our clients.

We've achieved significant growth, including settling claims worth over CAD$200 million in total value and experiencing a 60% revenue increase last year. As the only law firm with this specialty in Canada, we manage 120 active cases and have been aiding Families in major events like the Fort McMurray and Nova Scotia wildfires and Hurricane Fiona.

We’re a hybrid organization with 10 (soon to be 11 👋🏾) teammates, including our partners, lawyers, paralegals, and case managers. We also work with contractor companies that assist with AI, website, SEO, and PPC teams. You'll be our first full-time remote hire.

We're not one of those 60-80 hour-a-week law firms. Our lawyers are capped at 50 hours per week, and support staff at 44 hours, ensuring that we uphold the values we advocate for regarding balance and well-being.

About the Role

We're looking for a remote Insurance Claims Coordinator to help in managing and adjusting schedules of loss, ensuring accurate and fair compensation for our clients' insurance claims. This role involves detailed internet research to accurately price items, entering data into spreadsheets for paralegal review, and potential collaborating with clients to verify information.

You’ll also manage virtual front office duties, answering phone calls (virtually), handling client communications during and outside standard business hours, and supporting in drafting and customizing basic legal and administrative documents. Additionally, you’ll develop standard operating procedures (SOPs) and support business development through sales, marketing and product development efforts.

This position is integral to the firm as we prepare for our next phase of growth.

OUR IDEAL CANDIDATE brings 3-5 years of experience in community service, social work, legal, administrative, or research roles. You're highly skilled in managing detailed data and conducting exhaustive internet research. With proficiency in using advanced spreadsheet functions, you organize and analyze information efficiently, ensuring meticulous accuracy and attention to detail. Your work is trustworthy and reliable. Your communication abilities are polished, making you great at handling both phone and email interactions with clients. You have strong critical thinking skills, allowing you to resolve issues independently and effectively. Importantly, your background shows a deep commitment to service, ideally with knowledge of home insurance claims and legal procedures. You're extremely tech-savvy, quickly adapting to, and mastering, new software and tools. You have a strong moral compass, balanced by high emotional intelligence, and mature stakeholder management – a great fit for a mission-driven legal firm like ours.

Your performance will be measured by the accuracy of schedules of losses, the speed of turnaround times, and the overall efficiencies and time savings achieved through your work in these processes.

You’ll be doing things like:

Claims Adjustments & Documentation:

Research and Analysis: Conducting internet searches to validate pricing for items in Canada; analyzing back-end data to understand claim patterns.

Data Entry: Inputting pricing lists into spreadsheets for paralegal review, ensuring high accuracy and adherence to market rates.

Client Interaction: Communicating with clients via email, and eventually, phone and to collect and confirm item details and pricing adjustments.

Documentation Preparation: Developing evidentiary packages for adjusters, including justifications for price adjustments and responses to insurer queries.

Front Office Management:

Communication: Handling incoming calls and emails, providing prompt responses and directing queries to appropriate team members.

Client Reception: Managing front desk operations during on- and off-hours, ensuring all client interactions are logged and addressed.

Document and Email Drafting:

Legal Documents: Customizing templated retainer agreements and communication letters based on specific case details provided by the CEO or legal team.

Email Management: Crafting and sending basic emails and other communications as needed, maintaining professional standards and firm branding.

Sales & Marketing Support:

Lead Generation: Using internet research to identify potential clients from news articles and sending informational booklets to addresses identified through Google Maps.

Marketing Initiatives: Helping in developing landing pages and managing email marketing campaigns.

New Product Support: Collaborating in the development of new products and services (such as AI tools for legal processes).

Other Office Admin:

Process Standardization: Developing and maintaining standard operating procedures (SOPs) for all firm processes; creating accompanying training videos using Loom for clarity and staff training.

Skills & Qualifications

3-5 years in community service, social work, legal, administrative, or research roles.

Excellent internet research skills for accurate information verification.

Detail-oriented with a commitment to thoroughness.

Advanced spreadsheet proficiency for accurate data management.

Strong data entry skills emphasizing accuracy and speed.

Outstanding communication skills for client interactions via phone and email.

Proven critical thinking for effective problem-solving with minimal oversight.

Tech-savvy, adaptable to new software and tools.

Bonus if you also have:

Experience in service-oriented and community-based roles aligned with our mission.

Deep knowledge of home insurance and legal claims processes.

Experience in legal settings, especially in insurance or claims-related roles.

Certifications in customer service or relevant legal experience.

Familiarity with our tools: Monday.com, ChatGPT, VPNs, Slack, Trello, PracticePanther, and MailChimp.

Working Hours: 8:30AM-5PM EDT (Toronto), with 6 hours of required overlap and the rest asynchronous

Full-time vs Part-time: Full-time (40 hours/week) – preference will be given to applicants seeking an exclusive working arrangement (i.e. no additional part-time jobs)

Education: An undergraduate degree in something interesting

Level: Intermediate (3-5 years of relevant work experience)

Compensation: ~🇨🇦CAD$850-1,150/month (🇮🇳 52K-71K INR/month), depending on experience
